Privacy Policy
This policy explains what information Weathersfield Community Connection Partners (“we,” “us,” “our”) collects through www.weathersfieldccp.org (the “Site”), how we use it, and the choices you have. You can browse the Site without giving us any personal information. We only collect personal information when you choose to fill out one of our forms.
Who we are
We are a community nonprofit serving neighbors in Weathersfield Township, Ohio. You can reach us at info@weathersfieldccp.org or through the Contact page.
Information you give us
Volunteer application. When you apply to volunteer, we collect what you enter on the form: your name, street address, city, state, zip code, phone number, email address, date of birth, how long you have lived at your address, your employer and type of work, the names and phone numbers of three references, and your typed signature. We use this to review your application, contact you, and contact your references. Please let your references know you are listing them. If the applicant is under 18, we also collect the name, phone number, email address (optional), and typed signature of the parent or guardian who gives permission.
Vendor registration. When you register as a vendor for Fall Fest or another event, we collect what you enter on the form: the contact and business name, phone number, email address, a description of what you sell, whether you need electricity, and your agreement to the event rules. Nonprofit vendors also give us their EIN (federal tax ID) so we can confirm nonprofit status. We use this to review your registration, plan the event, and contact you about it.
Payments. Vendor card payments are handled by PayPal. Donations are handled by Zeffy, either on their site or in a donation form shown on our Fundraisers page. Your card details go directly to PayPal or Zeffy, never to us. We receive a confirmation of the payment (such as the amount, date, and your name and email) and never see or store your full card number. PayPal and Zeffy handle your information under their own privacy policies.
Email. If you email us, we receive your email address and whatever you include in your message, and we use it to reply to you.
Information collected automatically
Like most websites, our server automatically records basic technical information when you visit, such as your IP address, browser type, the page you asked for, and the date and time. We use these logs only to keep the Site running and secure, for example to block spam and abuse. We do not use analytics or advertising trackers, and we do not build profiles of visitors.
Our forms include a security check (a short code in an image) and a hidden field that helps us block automated spam. These do not identify you.
Cookies
The Site does not set cookies for visitors. The only cookie we use is a sign-in cookie for our organizers when they manage the photo gallery or review registrations. If you donate or pay through Zeffy or PayPal, those services may set their own cookies as part of the payment process.
Facebook and other outside services
The posts, events, and photos on the Site are copied from our public Facebook Page and served from our own server, so viewing them here does not load anything from Facebook. If you follow a link to Facebook, Meta’s Privacy Policy applies there. The Site’s fonts and images are also served from our own server.
How we store and share your information
Form submissions are kept on our web server, and copies are sent to our organization’s email inbox. Volunteer applications are also saved as PDF files in our private file storage. Only Weathersfield CCP organizers who need the information to review applications or run events can see it. Our web host, ThinLine Dynamic Solutions, runs these systems for us and may have technical access to them, but only in order to operate and maintain them.
We do not sell, rent, or trade your personal information, and we do not use it for advertising. We share it only when needed for the purpose you gave it to us (for example, contacting the references on a volunteer application), with the payment services described above, or when the law requires it.
How long we keep it
We keep your information for as long as we reasonably need it for our volunteer program, events, and records. That includes any records we must keep for tax or legal reasons, such as payment and donation records. When it is no longer needed, we delete it.
Keeping it safe
The Site uses an encrypted connection (HTTPS), and access to stored information is limited to the people who need it. No system is perfectly secure, but we take reasonable steps to protect what you share with us.
Your choices
You can ask to see, correct, or delete the information we have about you by emailing info@weathersfieldccp.org. We will do so unless we need to keep it for a legal reason, such as a payment record.
Children and teens
The Site is not directed at children under 13, and we do not knowingly collect personal information from children under 13 online. If a child under 13 would like to volunteer, a parent or guardian should contact us directly at info@weathersfieldccp.org.
Teens aged 13 to 17 may apply to volunteer only with a parent or legal guardian’s permission, given on the application form. A parent or guardian can ask to see, correct, or delete their teen’s application at any time by emailing us.
Changes to this policy
We may update this policy from time to time. When we do, the “Last updated” date at the top will change. If we make a significant change to how we use information from our forms, we will point it out on the Site.
